About the Role

mindbodygreen is seeking a Temporary Ecommerce Operations Specialist to provide parental leave coverage from November 2026 through April 2027.

We are looking for someone with 3–5 years of relevant experience who is highly organized, detail-oriented, and comfortable working in the day-to-day operations of a growing supplements business.

This is a hands-on, execution-focused role that requires proactive communication, persistent follow-up, and the ability to keep multiple moving pieces on track. The ideal candidate enjoys getting into the details, solving operational problems, and ensuring that nothing falls through the cracks.

You will work closely with our internal teams and external partners, including contract manufacturers, packaging vendors, fulfillment partners, and Amazon, to keep operations running smoothly.

Role & Responsibilities

  • Ecommerce Operations & Logistics

    • Coordinate day-to-day logistics, fulfillment, and inventory operations across our ecommerce business.

    • Serve as the primary day-to-day contact for our third-party logistics (3PL) partners, including coordinating weekly meetings, tracking action items, and following up on outstanding issues.

    • Monitor inventory levels across distribution locations, prepare and place replenishment purchase orders, and track inventory availability to help prevent out-of-stock situations.

    • Track supply chain metrics, flag discrepancies, and help identify opportunities for operational improvement.

    • Review and reconcile bi-monthly invoices against Shopify and other operational data.

    • Monitor daily order fulfillment and shipment performance, proactively identifying delays, exceptions, and other issues requiring immediate attention.

    • Review lot-level inventory data and manufacturing dates to help ensure First Expired, First Out (FEFO) practices are followed.

    • Coordinate operational requirements for marketing campaigns, gifting initiatives, preorders, and new product launches.

    • Troubleshoot day-to-day issues across ecommerce and fulfillment platforms, including Shopify, Skio, Loop, Okendo, and 3PL (Shiphero) systems.

    • Work closely with Customer Experience, Marketing, and Regulatory teams to resolve urgent operational issues quickly.

  • Supply Chain, Manufacturing & Amazon

    • Coordinate day-to-day communications and follow-ups with contract manufacturers, product vendors, and packaging suppliers.

    • Partner with the Regulatory team on weekly contract manufacturer calls, including preparing agendas, documenting action items, and following up to ensure deadlines are met.

    • Track production schedules, purchase orders, manufacturing milestones, and expected delivery dates, proactively following up on delays or outstanding items.

    • Coordinate product and packaging shipments with manufacturers, suppliers, and 3PL partners.

    • Support Amazon operations, including tracking launch timelines, coordinating inventory shipments, and following up on fulfillment and inventory requirements.

    • Keep cross-functional teams aligned on new product development milestones, production schedules, and launch readiness.

    • Coordinate the production and distribution of physical marketing materials, including inserts, stickers, and QR-code materials, working with internal teams and external vendors.

    • Proactively flag potential supply chain disruptions, inventory shortages, or missed deadlines and help drive timely resolution.

  • Customer Experience Operations (Secondary)

    • Provide day-to-day operational support for customer experience platforms, including Kustomer, Cavalry, Loop, Shopify/Skio, and 3PL systems.

    • Troubleshoot system and process issues, coordinate with relevant teams or external partners, and follow through until issues are resolved.

    • Work closely with the CX team to investigate and resolve escalated customer issues related to orders, subscriptions, shipping, returns, and fulfillment.

    • Coordinate with the Senior CX Specialist on team schedules and coverage across email, chat, phone, and social media channels.

    • Document recurring issues, communicate updates, and help implement process improvements as needed.

Requirements

  • 3–5 years of relevant experience in CPG operations, ecommerce operations, supply chain coordination, or a related role. Experience in supplements is a plus.

  • Extremely organized and detail-oriented, with the ability to track multiple workstreams, deadlines, and outstanding action items simultaneously.

  • Strong sense of ownership and relentless follow-through. You proactively chase down answers, follow up with partners, and ensure tasks are completed.

  • Comfortable working hands-on in the operational details, from tracking shipments and inventory to reconciling invoices and troubleshooting issues.

  • Strong problem-solving skills and the ability to prioritize and respond quickly to urgent operational needs.

  • Excellent written and verbal communication skills, particularly when coordinating across internal teams and external vendors.

  • Proficient in Excel or Google Sheets, with the ability to analyze data and identify discrepancies.

  • Experience with Shopify, 3PL systems, or other ecommerce platforms is a plus.

  • Self-starter who can work independently in a fast-paced, remote environment with minimal supervision.
